10:00 am – 10.15 am:  Welcome to participants and official start of project V4ALL by the receiving organization.

10.15am – 10.30am:  The introduction of the leader and of each partner organization.

10.30 am – 11.15 am:  Presentation of the partner organizations:

11:30 am – 1:00 pm:  Presentation of project “Volunteers 4 ALL” done by Mr. Georgi Kuzmanov, coordinator of the project. The presentation included the following points:

-Aims of the project :  

The V4A project aims to help youth workers and NGOs volunteers to build new social and digital skills needed in their daily work to face refugee crisis in Europe. V4A focuses on promoting high-quality youth work in the social and digital field. The project aims to create innovative resources for youth work. These priorities are also the priorities of the participating organization which have gained significant experience in the field of digital education and youth work. Supports the introduction of specialized training and e-learning courses for all NGOs staff, as well as partners operating with migrants. We aim that NGO youth workers start to interact online with refugees on their way to Europe, and youth workers will provide to refugees important information useful detect at an early stage, prevent and deal with possible dangers along their route.


-To empower volunteers to fully exploit all the potentials of social media and digital skills.

-To give the possibility to NGOs to count on volunteers/young social media experts.

-To provide volunteers good practices and tips on how to reach refugees and engage them via social media channels.

-To create an easy-to-apply training methodology to introduce volunteers to the possibilities of digital media to get engaged, tell a story, make sense of events, raise awareness and provoke change.

-To compose a set of learning materials as open educational resources (OER).

-To strengthen formal and non-formal learning for young people.

-To foster social inclusion.


-Project online survey followed by report

-Short-term joint staff training event

-E-learning course (IO1) realized by each partner organization based on the survey report

-Digital guide  (IO2)

2:00 pm – 3:00 pm: Project GANTT chart  and budget presented by Mr. Georgi Kuzmanov, Vice-chairperson of Alternativi International

3:00 pm – 3:30 pm :  Mr.Kuzmanov (Alternativi International)  and Mr. Rossi ( Futuro Digitale) explained to all partners how to develop project website and the Creation of training content & an Open Online courses, how to organize the work plan and which tasks to require to each partner. We ended up that the website of the project and the main layout will be ready within the 1th December 2017.
The website will be built in a way to be user friendly and high interactive. All the main contents will be uploaded in the national language of each partner within January 2018.
Discussion on the number of e-learning courses, their format and their contents. However, the contents will be decided during the intermediate meeting in Italy and after the analysis of questionnaire results.

3:30 pm -4.00 pm: Activity A2 – Research & exploration and creation of the questionnaire was explained by Ms. Dimova to all partners as well as using the EUsurvey platform was agreed to be used.  Partners set the following deadlines:

10.11.2017  Partners will prepare a set of questions for the questionnaire. All the questions will be based on specific needs analysis on the local youth workers and volunteers presented in each partner countries.
20.11.2017  PROJUVEN members will review all questions drafted by all partners and will design the final questionnaire.
22.11.2017  Collecting the feedback of every partner about the questionnaire.
23.11.2017  Design of the final questionnaire.
25.11.2017  Partners will translate the questionnaire in their national language.
29.11.2017  Questionnaire will be launched by using EUSurvey platform. EUSurvey gives the opportunity to respondents to choose the language of the questionnaire.
15.02.2018  Collection of questionnaire by all the partners.
15.03.2018  PROJUVEN will be in charge to map the main findings, drafting conclusion of the survey & report conclusions, roadmap to using the survey finding

4.000 pm – 4:30 pm:  Discussion on the Logo of the project and template of all project documents and planning dissemination strategy offline and online was leaded by Mr.Kuzmanov and the following deadlines were set:

-20 November 2017  – Logo proposals by each partner

-30 November 2017 – Choosing the logo of the project and using it for all publications and activities related to the project

– 30 November 2017 – Creation of facebook page and Instagram profile for dissemination purposes

– Every month partner organizations will take care of publishing posts/photos  on both social medias (minimum 3 different per organization)

– Every three/ four months the partner organizations will organize offline activity ( workshop, round table, conference, training and etc) for disseminating the project idea, results and activities

-Setting up of Social media strategy, Facebook, Youtube and project hashtag

-Creation of a Google Drive folder for the project amongst all partners.

-Creation of a Google Drive Calendar to set the main project deadlines.

4:30 pm – 6:30 pm:  Define the dates of intermediate meetings and Short-term joint staff training event. The intermediate meeting of the project will be held in Terranova da Sibari (Italy) and it will be organized by Futuro Digitale. The date will be 11th April 2018. During the intermediate meeting project partners will decide the contents of e-learning courses, will define all session of the Short-term joint staff training events for August 2018 and will be set the date for the final project meeting that will take place in Vienna (Austria) organized by OJAB.
Short-term joint staff training events (Bansko, Bulgaria). Alternativi International and all partners decided to hold the training event in August 2018 as set in the GANTT chart and the activities will take place in Bansko. Designing protocols and Participants Selection for the Training course.

6.30 pm – 7:00 pm: Project partners delivered to Alternativi Internatioanl Project Coordinator, Georgi Kuzmanov ,an Internal Partnership Agreement for the Strategic Partnership signed by their legal representative. Followed by setting up of the periodical virtual meetings and monthly project reports. The meeting has finished with Certificate of Attendance delivered to the participants of the meeting.
